The Appointment Calendar in practice
Open Appointment Calendar (/dashboard/calendar) whenever your venue is schedule-calendar eligible (appointments, classes, events, or resources are active). Pure table venues without those models use other tools. This article assumes you see the grid.
What this covers: views and filters, creating bookings, when drag-and-drop is allowed, and how the detail sheet keeps payments and messages in one place.
Appointment Calendar layout
Each bookable calendar is a column. Use the toolbar for date, view, filters, new booking, and walk-ins.
Choose the right zoom
- Day – front-desk mode; scan every column minute by minute.
- Week – planning who is in building-wide.
- Month – big-picture capacity; drill into a day when needed.
Use the View dropdown in the toolbar to switch between these modes. The date control, Filter, Refresh, New appointment, and Walk-in actions stay in the same toolbar so your team does not have to relearn the page in each view.
Columns and filters
Each bookable calendar is a column. Use the column filter to hide rooms you do not need right now. Mine shortcuts appear when the signed-in user manages specific calendars, perfect on a tablet at reception.
Create or move work
- Click a slot to launch the staff booking flow for walk-ins or phone bookings.
- Drag and drop when your role allows it; the app validates each move. If something is rejected, read the inline message. It usually means the destination violates buffers, closures, or double-booking rules.
Detail sheets
Selecting an item opens its detail sheet: payments, messages, attendance (for classes), and status history stay together so you are not jumping between modules.
Relationship to the list
Use Appointments / Bookings when you need filters, CSV export, or bulk messaging; use the Appointment Calendar when spatial context matters. Both stay in sync via live updates. Watch the connection indicator and tap refresh if you lose sync on flaky Wi-Fi.
Roles
Every staff member who can see the grid should know your internal rules for dragging bookings that already paid online. When in doubt, edit from the detail sheet so financial records stay tidy.
