Rent-a-chair salons

Chair rental salon software that keeps every chair independent.

One salon. One branded booking page. Every chair renter running their own business behind it, with their own diary, clients, payments and name. And if someone moves on, they unlink and take it all with them.

  • One booking page for the salon
  • Separate books for every chair
  • No booking commission

The short answer

What is chair rental salon software?

Chair rental salon software is a booking system built for salons where stylists rent their chair and run their own business. Instead of one shared account with one diary and one till, each chair renter has their own account, with their own diary, clients and payments, and the accounts link together so the salon can still give clients one branded booking page. On ResNeo this is called Link & Break: link to share a booking page, and break the link in a click if someone leaves, with nothing to untangle because nothing was ever merged.

Why ordinary salon software struggles with rent-a-chair

Most salon systems are built for an employer. There is one account, owned by the salon. Every stylist gets a login on it. Every client goes into one shared list, and every payment lands in the salon’s account to be paid out later. That works well when everyone on the floor is staff. It works badly when some of them run their own business.

  1. 1

    Whose clients are they?

On a shared list, every renter's clients sit in one pot that the salon controls. When someone leaves, working out who keeps which client is awkward at best, and a falling-out at worst.

  2. 2

You end up holding other people's money

If every deposit goes through the salon's account, someone has to work out each renter's share and pay it on. That is hours of reconciling every week, for money that was never yours.

  3. 3

    It tells the wrong story

HMRC judges a chair rental arrangement on how it works day to day, including who collects the money and whose clients they are. One login and one till point towards employment. Our guide to chair rental and HMRC employment status explains what HMRC checks.

  4. 4

    Separate apps scatter your clients

Give every renter their own app instead and the salon loses its front door. Clients have to find the right person and the right link, and there is no one page for the business.

Chair rental salon software fixes this by starting from the other end: every renter has their own account first, and the salon’s booking page is built on top by linking them.

What every chair renter keeps

Each renter signs up for their own ResNeo account. Linking it to the salon shares access. It never moves ownership.

Their own diary

Their calendar, working hours, breaks and days off live in their own account. They decide when they work, and the booking page only offers a renter when their own diary says they are free.

Their own clients and data

Every client who books a renter is saved in that renter’s account, with their notes, visits and history. A client who books two renters has a record with each, because each record belongs to the business that took the booking. Be clear about one thing: on a combined booking page, everyone on the page can see each other’s bookings and client contact details, and each renter agrees to that when they join. Seeing a record is not owning it. When the link ends, the access ends and the records stay where they always were.

Their own payments

Each renter connects their own Stripe account. Deposits, full payments and no-show fees go straight to that account and pay out to the renter’s own bank. ResNeo does not hold booking money and never pools it. There is a whole page on salon software with separate payments if this is the part that matters most to you.

Their own business identity

On the salon’s page, each person shows the business they work under, and before paying the client sees You are booking with that business. The confirmation comes from it too. Renters stay visible as the independent businesses they are, while the page as a whole reads as your salon.

What the salon gets

The salon keeps its front door, without running anyone else’s books.

  • One booking page and one link for the whole salon, for your website, Instagram bio and Google profile, with a QR code for the front desk
  • Every linked chair's diary alongside your own calendar, each column marked with the business it belongs to
  • Booking clients in with each other, if you agree to that level of link
  • On a combined page, moving a booking to another chair by dragging it, with the client told in one message
  • Booked revenue reports that name every business in its own row
  • An audit log of every action taken across a link, which both sides can see
  • Linked calendars never count against your own plan's calendar limit

Two ways to run a rent-a-chair salon on ResNeo

The big choice is who sets the menu. A combined page is one menu for everyone. Linked diaries let each renter keep their own.

Worth knowing if your renters are self-employed

HMRC’s guidance for hair and beauty says self-employed people decide how much they charge, find their own clients and are paid by their clients directly. If setting their own prices is part of your arrangement, linked diaries keep the menu with each renter. You can switch between the two later: leaving a combined page brings each renter’s own page straight back.

When a chair renter leaves

This is where most salon systems hurt. With separate accounts there is nothing to split, so it takes a couple of clicks.

  1. 1

    They leave the shared page

In Settings, then Linked Accounts, they click Leave on the collective’s row. They keep every service, calendar and booking, and their own booking page comes back. The salon can also do this for them with Remove.

  2. 2

    They break the link

Leaving the page does not end the link on its own. Unlink stops all shared access, both ways, at once. The audit log is kept.

  3. 3

Their clients come with them, because they never left

Their client records, future bookings and payment account were in their own account all along. Clients who book them again simply use their own booking page.

  4. 4

    Everyone else carries on

The salon's page keeps running for everyone who stays. A combined page needs at least two businesses, so it only ends when the last member leaves.

Setting it up

There is no shared account. Each person signs up separately, then one of you links the accounts from the dashboard. These are the words you will see on screen.

  1. 1

Everyone signs up for their own account

The salon and each renter sign up separately, each on their own plan with their own free trial, and set up their own calendar and services.

  2. 2

The salon links with each renter and starts the page

Open Settings, then Linked Accounts, and click Link with a venue. Find the renter, choose Work as one team, then Also start a collective. Name the page, pick its web address and click Send request. With three or more of you, every pair needs a link.

  3. 3

    Each renter accepts

They click Review request on the notice in their dashboard, read what joining means, then click Accept and join.

  4. 4

The salon chooses the services and goes live

Click Continue setup on your dashboard. Tick the services for the page and the calendars that offer them. Save, and the page is live.

Want only shared diaries, not a shared page? Choose See each other’s diaries instead and skip the collective. The help centre walks through both: linking with another venue and running a combined booking page. The Link & Break page has the full picture.

What chair rental salon software costs

Each person pays for their own plan, and linking costs nothing on top. A renter working one chair usually needs Appointments Light at £20 a month. There is no booking commission on any plan, whoever the client books. Standard payment provider fees may apply. If you are weighing ResNeo against a platform that charges on new clients, read what booking commission really costs a salon.

Each renter picks the plan that fits their own business. Most single-chair renters start on Light; the salon picks whatever fits its own team.

  • Appointments Light

    £20 a month

One chair, one calendar, one login

  • Appointments Plus

    £49 a month

Up to 5 calendars and 5 logins

  • Appointments Pro

    £99 a month

    Unlimited calendars and logins

Every plan includes online booking, deposits, reminders, client records and the iOS and Android apps, and starts with a 14-day free trial. Cancel anytime. Your subscription stays active until the end of your current billing period, and you are not charged again after that. If you cancel during your free trial, you pay nothing. See every plan in full.

If you are the renter, not the salon

Everything on this page works from your side too. You can run your own ResNeo account today, with your own booking link, and link it to a salon later if you both want to. Our page on booking software for self-employed stylists is written for you.

A note on advice

No booking system settles anyone’s employment status, and we do not claim to. Separate accounts mean your booking system reflects genuine independence instead of working against it. They do not replace a proper chair rental agreement or advice from a qualified UK tax or employment adviser. HMRC’s free Check Employment Status for Tax tool is a reasonable first step.

Common questions

Chair rental salon software, answered.

What is the best booking system for a rent-a-chair salon?

Look for one where every chair renter has their own account rather than a login on the salon's. Each renter should keep their own diary, client records and payments, with money going straight to them, while the salon can still show clients one booking page. ResNeo does this with Link & Break: separate accounts that link into one combined booking page, and unlink in a click.

Do chair renters need their own booking software?

On ResNeo, yes: each renter signs up for their own account and pays for their own plan. That is what keeps their clients, diary and money separate. A renter with one chair usually needs Appointments Light. Linking their account to the salon's costs nothing extra.

Can a rent-a-chair salon still have one booking page?

Yes. Once the accounts are linked, the salon can host a combined booking page under its own name. Clients see one business and book whoever they like. Each booking lands in that person's own diary, and any payment goes to that person's own Stripe account.

Who sets the prices on a shared booking page?

The host. On a combined page one venue, usually the salon, chooses the services on the page and sets their prices, deposits and options for everyone on it. If your renters set their own prices, keep their own booking pages and link your diaries instead, so each renter keeps their own menu.

Can chair renters see each other's clients?

It depends on how you link. At the first level you see each other's diaries with no client names or contact details. A combined booking page needs the top level both ways, so everyone on it can see each other's bookings and client contact details, and everyone agrees to that when they join. Every client record still belongs to the renter who took the booking.

Where does the money go when a client pays a deposit?

To the person the client booked with. Before paying, the client sees which business they are booking with, and the deposit or payment goes straight to that business's own Stripe account. ResNeo never pools money between accounts and does not hold booking money.

What happens when a chair renter leaves the salon?

They click Leave on the shared page and Unlink on the link. They keep every client, booking, calendar and service, and their own booking page comes back straight away. The salon and the other renters carry on as before. There is no data to split, because nothing was ever merged.

Can I collect chair rent through ResNeo?

No. ResNeo handles bookings and client payments, not rent. Keep charging chair rent the way you agree it with each renter, separately from the money their clients pay them.

Does giving every renter their own account make them self-employed?

No. Employment status depends on how the whole arrangement works day to day, not on any software. Separate accounts mean your booking system reflects genuine independence instead of working against it, but they do not replace a proper chair rental agreement or advice from a qualified UK tax or employment adviser.
